Meetwise — A product of Eduturn Creative Solutions LLP

1. Acceptance of Terms

By accessing or using the Meetwise platform ("Meetwise", "the Service", "the Platform"), you agree to be bound by these Terms of Use ("Terms"). If you do not agree to these Terms, you must not use the Service.

These Terms apply to all users of the Meetwise platform, including conference organisers, delegates, speakers, sponsors and other authorised users.

2. About Meetwise

Meetwise is a conference management platform designed for corporate and education conferences. It provides tools for delegate registration, speaker management, agenda management, sponsor management, session activities, check-in, attendance tracking, certificate generation and conference archiving.

Meetwise is positioned for conferences of typically 100–300 delegates. This is a positioning guideline, not a technical restriction.

3. About Eduturn

Meetwise is developed and operated by Eduturn Creative Solutions LLP, a limited liability partnership registered in India. Eduturn Creative Solutions LLP is the legal entity that provides the Meetwise platform and enters into commercial agreements with conference organisers.

4. Description of the Service

Meetwise provides a software-as-a-service conference management platform. The Service is licensed to conference organisers on a per-conference engagement basis. Each conference engagement provides access to the Meetwise platform for the duration of the license period.

5. Eligibility

The Meetwise platform is intended for use by organisations and their authorised representatives. By using Meetwise, you represent that you have the authority to bind your organisation to these Terms.

Meetwise is not intended for use by individuals under the age of 18 without appropriate organisational oversight.

6. Organisation Accounts

Conference organisers create an organisation account on Meetwise. The organisation account holder is responsible for all activity conducted through the account, including the actions of authorised users added to the account.

You are responsible for maintaining the security of your account credentials and for notifying Meetwise promptly of any unauthorised access.

7. User Accounts and Roles

Meetwise supports multiple user roles, including Organisation Owner, Conference Admin, Delegate, Speaker and Sponsor. Each role has defined access permissions within the platform. You must use the platform only in accordance with your assigned role and permissions.

8. Authorised Use

You may use Meetwise only for lawful purposes and in accordance with these Terms. You must not use the platform in any way that violates applicable law or regulation, or that infringes the rights of any third party.

9. Conference Content

Conference organisers are responsible for the accuracy, legality and appropriateness of all conference content uploaded to or managed through Meetwise, including conference descriptions, agenda, speaker information, sponsor information and resources.

10. Delegate and Registration Data

Conference organisers are responsible for the lawful collection and use of delegate registration data. Meetwise provides the technology to collect and manage this data on behalf of the organiser. The organiser must ensure that appropriate privacy notices are provided to delegates and that a lawful basis for processing exists.

11. Speaker and Sponsor Information

Conference organisers are responsible for obtaining appropriate permissions from speakers and sponsors before uploading their information to the Meetwise platform, including photographs, biographies and other profile information.

12. Acceptable Use

You must not use Meetwise to:

  • Upload, transmit or distribute unlawful, defamatory, obscene or harmful content
  • Impersonate any person or organisation
  • Attempt to gain unauthorised access to any part of the platform or another user's account
  • Interfere with or disrupt the platform or its infrastructure
  • Use the platform for any purpose other than conference management
  • Reverse engineer, decompile or attempt to extract the source code of the platform
  • Resell or sublicense access to the platform without Meetwise's written consent

13. Customer Responsibilities

Conference organisers are responsible for:

  • Accuracy of conference information entered into the platform
  • Registration categories, fees and delegate eligibility
  • Conference content, including agenda, speakers and sponsors
  • Communications to delegates, speakers and sponsors
  • Payment collection and verification
  • Issuing receipts and invoices to delegates
  • Applicable GST or tax obligations relating to registration fees
  • Lawful processing of delegate and participant information
  • Obtaining required consents and providing appropriate privacy notices
  • Appropriate use of delegate and participant data
  • Conference-specific terms, policies and communications

14. Conference Organiser Responsibilities

The conference organiser is the primary responsible party for the conference. Meetwise provides the technology platform and configuration support. The organiser remains responsible for all aspects of the conference that are not explicitly within Meetwise's scope of service.

15. Payment and Registration Fees

A. Delegate registration fees (organiser-direct): Where a conference organiser charges a registration fee, delegates pay that fee directly to the conference organiser using the organiser's own payment details (such as UPI ID or bank transfer). Meetwise does not receive, hold, process or settle delegate registration payments. The conference organiser is responsible for collecting payment, verifying payment, issuing receipts or invoices to delegates, and complying with applicable tax and GST obligations.

B. Meetwise platform fees: Conference organisers pay Meetwise/Eduturn separately for access to the Meetwise platform and Setup & Onboarding services. These fees are governed by the applicable quotation, order or engagement documentation between the organiser and Eduturn Creative Solutions LLP.

16. Meetwise Platform Fees

Current Meetwise platform pricing is communicated through the applicable quotation or engagement documentation. Pricing is exclusive of applicable GST. Meetwise reserves the right to update pricing for future engagements. Pricing for a confirmed engagement will not change during the license period.

For reference, current indicative pricing (exclusive of GST) is as follows: 30-day engagement — ₹24,000; 60-day engagement — ₹36,000; 90-day engagement — ₹45,000. Setup & Onboarding — ₹18,000 (one-time). These prices are subject to change and the applicable quotation or order documentation governs.

17. One Conference = One Engagement / License

Meetwise is licensed on a per-conference basis. Each conference engagement covers one conference. An organisation may have multiple conferences, but each conference requires its own separate engagement and license. Completed or archived conferences remain accessible according to the archive model but do not extend to new conferences.

18. Setup & Onboarding

Meetwise Setup & Onboarding includes configuration support for: conference workspace setup, conference branding and basic configuration, registration categories and registration form setup, delegate fields and custom questions, agenda, tracks and session setup, speaker profile setup, sponsor profile and package setup, Resource Hub setup, basic delegate and speaker data import, public conference page setup, Conference Admin orientation, and pre-launch readiness check.

Setup & Onboarding does not include: ongoing conference administration on behalf of the customer, delegate coordination, speaker coordination, manual data entry beyond agreed basic import, creation or editing of conference content, event-day or on-site technical support, custom features or integrations, payment gateway setup, payment transaction management, email or WhatsApp campaign management, or work outside standard Meetwise configuration.

19. License Duration

The license period begins on the agreed start date and expires at the end of the agreed duration (30, 60 or 90 days, as applicable). The license period is specified in the applicable engagement documentation.

20. Conference Completion and Archive

Upon completion of a conference, the conference may be archived within the Meetwise platform. Archived conferences are read-only. Historical conference data, including delegate records, attendance, certificates and analytics, remains accessible to authorised users according to the customer's license and access rights.

Meetwise does not promise indefinite storage of archived conference information. Retention is subject to the applicable engagement terms, Meetwise's data retention policies and applicable legal requirements.

21. Intellectual Property

Meetwise / Eduturn intellectual property: The Meetwise platform, software, interface, code, product design, product branding, the Meetwise name and logo, and all platform functionality are the intellectual property of Eduturn Creative Solutions LLP. Nothing in these Terms transfers any Meetwise or Eduturn intellectual property to the customer.

Customer intellectual property: Conference content, organisation branding, uploaded documents, speaker content, sponsor content and other materials supplied by the customer remain the intellectual property of the customer or the relevant third party. By uploading content to Meetwise, you grant Meetwise a limited, non-exclusive licence to store, process and display that content as required to provide the Service.

22. Customer Content

You are responsible for ensuring that any content you upload to Meetwise does not infringe the intellectual property rights, privacy rights or other rights of any third party. Meetwise does not review or endorse customer content.

23. Data Protection and Privacy

The use of personal data through the Meetwise platform is governed by the Meetwise Privacy Policy, which is incorporated into these Terms by reference. Conference organisers must comply with applicable data protection laws in relation to their use of participant data.

24. Third-Party Services

Meetwise uses third-party services to operate the platform (such as database and authentication infrastructure). Meetwise is not responsible for the availability, performance or content of third-party services. Your use of third-party services may be subject to those services' own terms and conditions.

25. Service Availability

Meetwise aims to provide a reliable service but does not guarantee uninterrupted or error-free availability. The platform may be unavailable from time to time due to maintenance, updates, technical issues or circumstances beyond Meetwise's control.

26. Maintenance and Changes

Meetwise may update, modify or discontinue features of the platform from time to time. Where changes materially affect the Service, Meetwise will take reasonable steps to notify customers. Meetwise will not make changes that fundamentally alter the core conference management functionality during an active license period without reasonable notice.

27. Security

Meetwise implements reasonable security measures to protect the platform and customer data. You are responsible for maintaining the security of your account credentials and for promptly reporting any suspected security incidents to Meetwise.

28. Prohibited Activities

In addition to the acceptable use requirements above, you must not: attempt to circumvent any security or access control measures; use automated tools to scrape or extract data from the platform; use the platform to send unsolicited communications; or engage in any activity that could damage, disable or impair the platform.

29. Suspension and Termination

Meetwise may suspend or terminate access to the platform where: the customer breaches these Terms; the license period expires; fees remain unpaid after reasonable notice; or continued access would violate applicable law.

Upon termination, the customer's access to the platform will cease. Data retention following termination is subject to Meetwise's data retention policies and applicable legal requirements.

30. Limitation of Liability

To the extent permitted by applicable law, Meetwise's total liability to any customer or user for any claim arising out of or in connection with the use of the platform shall not exceed the fees paid by that customer to Meetwise in the twelve months preceding the claim.

Meetwise shall not be liable for: indirect, incidental, special or consequential loss or damage; loss of profits, revenue or data; or any loss arising from the customer's own conference operations, delegate relations, payment disputes or third-party services.

31. Indemnity

You agree to indemnify and hold harmless Meetwise and Eduturn Creative Solutions LLP from any claims, losses, damages or expenses (including reasonable legal fees) arising from: your use of the platform in breach of these Terms; your conference operations; your use of participant data; or any content you upload to the platform.

32. Disclaimers

The Meetwise platform is provided "as is" and "as available". Meetwise makes no warranties, express or implied, regarding the platform, including warranties of merchantability, fitness for a particular purpose or non-infringement.

Meetwise does not warrant that the platform will be error-free, uninterrupted or free from security vulnerabilities. Meetwise does not guarantee that the platform will meet all of your requirements.

33. Governing Law

These Terms are governed by the laws of India. The applicable jurisdiction for dispute resolution shall be as specified in the applicable engagement documentation between the customer and Eduturn Creative Solutions LLP. [Specific court jurisdiction to be confirmed upon legal review.]

34. Dispute Resolution

In the event of a dispute arising out of or in connection with these Terms, the parties shall first attempt to resolve the dispute through good-faith negotiation. If the dispute cannot be resolved through negotiation within a reasonable period, it shall be referred to arbitration or the appropriate courts in accordance with applicable Indian law and the applicable engagement documentation.

35. Changes to Terms

Meetwise may update these Terms from time to time. Where changes are material, Meetwise will take reasonable steps to notify customers. Continued use of the platform after the effective date of updated Terms constitutes acceptance of the updated Terms.
